Ultimate Fitness Holiday Terms & Conditions

When you submit an Ultimate Fitness booking form you are agreeing to a contract with Ultimate Fitness to arrange your bootcamp membership abroad.

It is very important that you read these terms and conditions in full prior to submitting your booking form. Many people just accept terms and conditions foranything made by without first checking the finer details.

Please don't do that with us as it is very important you understand the conditions based around booking the camp.

As a company, we have your best interests at heart, and these terms and conditions have been written toprotect both you and Ultimate Fitness in the event of all kinds of different circumstances.

Please payparticular attention to the cancellation policies and fees as this is most likely to affect you in the event ofcancellation.The following terms and conditions apply to all bookings through all Ultimate Fitness websites and agents.They will also be applicable to anyone accepted on our programmes who have booked through affiliatepartners. The following Terms & Conditions apply to all bookings.

1. Agreement & Booking Terms

1.1 Contractual Agreement

By submitting a booking form, you agree to a contract with Ultimate Fitness Bootcamp FZ LLC, a company registered in the United Arab Emirates ("Ultimate Fitness" or "we"). This agreement covers your participation in our fitness programs abroad, not tourism accommodation.

1.2 Booking & Payment

  1. Joining Fee (Deposit): €200 (non-refundable).
  2. Balance Payment: Due 8 weeks prior to departure (or within 3 days if booking within 12 weeks of departure).
  3. Failure to Pay: If payments are not made on time, Ultimate Fitness reserves the right to cancel the booking and retain all payments made.
  4. Price Changes: Prices are based on exchange rates from January 2024 and are fixed upon booking.

2. Financial Protection & Insurance

2.1 Financial Protection

  1. Ultimate Fitness sells fitness memberships (ground services only, inclusive of training, activities and meals not flights).
  2. As our bootcamps are not covered under package travel regulations, we strongly recommend purchasing comprehensive travel insurance.

2.2 Mandatory Travel Insurance

  1. All participants must have valid travel insurance covering:
    • Trip cancellation & medical emergencies.
    • Repatriation (including air evacuation).
  2. Insurance details must be provided before departure.
  3. Failure to provide proof of insurance may result in denied participation without refund.

3. Accommodation Disclaimer

  1. Ultimate Fitness does NOT operate as an accommodation provider.
  2. Any accommodation provided is separate from this contract and is not part of a tourism rental agreement.
  3. Accommodation, if provided, is a courtesy arrangement to facilitate participation in the fitness program.
  4. Ultimate Fitness is not liable for accommodation-related issues, including conditions, availability, or costs.

4. Cancellations & Changes

4.1 If Ultimate Fitness Cancels

  1. We will offer a full refund, except in cases of force majeure (e.g., war, natural disasters, pandemics, government restrictions).
  2. If cancellation is due to COVID-19, any payments will be held as credit for future use.

4.2 If You Cancel

  1. More than 121 days before departure: Deposit of €200 is forfeited.
  2. 90 days or less before departure: No refunds (full payment due).
  3. No refunds for unused services (e.g., accommodation, meals, activities, transfers).

4.3 Flexible Packages (€89 Upgrade)

  1. Low deposit option: €49 to secure a spot, balance payable in installments.
  2. Date changes allowed free of charge up to two weeks before departure if travel restrictions apply.
  3. Payments are non-refundable but valid for life.

5. Behavior & Conduct

  1. Participants must comply with local laws and camp rules.
  2. Drugs & Alcohol: Possession of illegal substances results in immediate expulsion with no refund.
  3. Antisocial behavior: Ultimate Fitness reserves the right to terminate participation for disruptive or unsafe behavior.
  4. Smoking is prohibited on premises.

6. Flights & Transfers

  1. Ultimate Fitness does not book flights but may recommend third-party providers.
  2. We are not responsible for missed flights, cancellations, or schedule changes.
  3. If denied entry into a country due to visa issues, no refund will be given.

7. Program Changes & Force Majeure

  1. Itineraries may change due to unforeseen circumstances (e.g., weather, government restrictions).
  2. No refunds will be issued for changes due to force majeure (war, pandemics, political events, etc.).
  3. Accommodation conditions may vary, and refunds will not be given due to perceived discrepancies.
  4. Force Majeure Clause: Ultimate Fitness shall not be liable for any failure or delay in performing its obligations due to events beyond its reasonable control, including but not limited to acts of God, war, terrorism, pandemics, government restrictions, natural disasters, strikes, or failure of suppliers. In such cases, Ultimate Fitness reserves the right to modify, reschedule, or cancel the program without liability for compensation or refund beyond what is specified in this agreement.
  5. Itineraries may change due to unforeseen circumstances (e.g., weather, government restrictions).
  6. No refunds will be issued for changes due to force majeure (war, pandemics, political events, etc.).
  7. Accommodation conditions may vary, and refunds will not be given due to perceived discrepancies.

8. Liability Waiver

  1. Participation in fitness programs carries inherent risks (injury, illness, accidents).
  2. By joining, you waive liability for injuries sustained during activities.
  3. Medical costs are 100% the participant’s responsibility.
  4. Cycling & water sports: Participants assume all risks and must wear appropriate safety gear.

9. Chargebacks & Payment Responsibility

  1. By confirming a booking and making payment, the participant acknowledges their full responsibility for the agreed-upon charges.
  2. The participant agrees that they cannot pursue a chargeback or dispute the transaction after confirming their booking.
  3. Any attempts to file a chargeback will be considered a breach of contract, and Ultimate Fitness reserves the right to take legal action to recover costs and damages.

10. Complaints & Disputes

  1. Complaints must be reported during the program, not via social media.
  2. Ultimate Fitness will only accept complaints from the named participant.
  3. Disputes will be resolved under UAE jurisdiction.

10. Marketing & Photography

  1. By participating, you consent to the use of images/videos for marketing purposes.
  2. Requests for image removal must be submitted in writing.

By submitting a booking form and making payment, you confirm that you agree to these Terms & Conditions. Failure to adhere to these terms may result in termination of participation without refund.
